  • Position Summary

    The University of Iowa Community Credit Union is now taking applications for an Executive Assistant/PR Specialist. Under the general direction of the President/CEO, the Executive Assistant/PR Specialist provides office and administrative support services to senior management executives as well as the credit union’s Board of Directors, Advisory Board and other Board-related committees.  This friendly, loyal and outgoing person will greet and assist members, vendors, and guests to the Administrative department. This individual will also take a support role in the planning and execution of UICCU employee events, UICCU sponsored events, and business partnerships. 


    Pay Range: $17.57-26.35

    Essential Duties and Responsibilities

    Performs essential duties and responsibilities in the following areas which may include, but are not limited to those listed and are subject to change:


    1. Adheres to the Credit Union's core values in serving with truth, trust, mentoring, openness, risk-taking, communication, giving credit, integrity, caring, and respect in carrying out the UICCU's mission and vision.
    2. Represents UICCU with a high level of professionalism with any organizations or entities as may be assigned.
    3. Demonstrates teamwork in all interactions with coworkers and in the completion of all duties and responsibilities.
    4. Ensures confidentiality of member information.
    5. Assists in answering telephone calls that come to the Administration Department.  Assists the caller by directing them to the appropriate person(s).
    6. Assists in the typing, filing and mailing of correspondence, reports and other documents. 
    7. Orders supplies for the Administration Department.
    8. Assists with the preparation of various board, committee, management, community and staff meetings.  This will include preparing documents, assuring proper audio/visual equipment is available, and ordering food and beverages.
    9. Arranges meetings, answers routine correspondence, and assembles highly confidential information.
    10. Prepares, edits, and proofs general business correspondence.
    11. Performs complex administrative details, such as preparing special recurring and non-recurring reports by combining confidential data from several sources, scheduling and planning the work of others and anticipating the administrative needs of the President / CEO as well as other senior staff.
    12. Assists in scheduling appointments, travel, and managing the calendars for the Senior Team.
    13. Copies and distributes monthly board packets and materials for the board of directors.
    14. Takes and writes minutes at various Board and committee meetings and prepare meeting agendas.
    15. Delivers and picks up items as needed.
    16. Organizes and coordinates a variety of public and staff related activities and programs for the Credit Union.
    17. Increases the Credit Union’s visibility and support for various community programs and events which will provide positive exposure and membership growth opportunities.
    18. Participates in community and educational outreach opportunities (i.e. business to business functions, employee benefits fairs, Kirby's Kids Club, financial literacy presentations, conventions, seminars, etc.).
    19. Coordinates all marketing for Kirby’s Kids Club including mailings.
    20. Assists in coordinating financial literacy programs in area schools.
    21. Provides support and information on a regular basis to UICCU public relations efforts including social media and member newsletters.
    22. Has working knowledge of all UICCU products and services.
    23. Attends meetings as scheduled and applicable within the Credit Union. Also attends outside seminars and meetings as required.
    24. Interacts with employees and members so as to ensure quality service to members and potential members.
    25. Meets deadlines for assigned tasks.
    26. Keeps abreast of changes and updates in the credit union industry through ongoing education and networking opportunities.
    27. Coordinates UICCU logo wear with staff and supplier.
    28. Plans and coordinates the Credit Union’s annual membership meeting.
    29. Oversees the fundraising initiatives of the UICCU Staff United Way campaign in all markets.
    30. Supervises UICCU’s charitable contributions, including coordinating the approval process, screening requests for financial support, maintaining our on-line request site, and directing the disbursement of funds.  Assures maximum exposure and recognition from UICCU’s charitable contributions.   
    31. Notifies staff of community opportunities and events, and tracks staff participation.
    32. Acts as primary contact with school districts and other organizations in our service area for event planning and scheduling in all the markets we serve
    33. Facilitates the activities of the UICCU’s Community Involvement Team. 

    Job Requirements/Expectations

    1. Five to eight years of administrative experience.
    2. Strong communication skills and ability to speak publicly before large and small groups in a positive, inclusive, and motivational manner.
    3. Ability to ensure the confidentiality of large volumes of sensitive information.
    4. High scanning accuracy with extreme attention to detail.
    5. Ability to follow UICCU policies, procedures and operations.
    6. Ability to schedule, coordinate and prioritize detailed project requirements, schedules, and community outreach activities.
    7. Excellent time management skills required to manage and complete multiple assignments at the same time.
    8. Ability to work independent of supervision and ability to follow directions.
    9. Proficiency with the Microsoft suite of products (Word, Excel, PowerPoint).
    10. Reports to work punctually, works all scheduled hours, and works overtime as necessitated by business demand.
    11. High school diploma or the equivalent (i.e.: GED) plus additional administrative training.
    12. Self starter, able and willing to work evenings and weekends as required.
    13. The ability to successfully operate within a team environment as the position interacts with all departments and branches.
    14. A positive attitude and professional image. Access to an automobile, a valid driver's license with a good driving record and adequate automobile related insurance. Able and agreeable to travel between branches and communities on a regular basis.
    15. Some Banking and/or Credit Union background is preferred. 
    16. Must be bondable.

    Reporting Relationship

    Reports to the President / CEO.

    Supervisory Responsibilities

    This position is not responsible for the supervision of other employees.
